Privacy Policy
This policy explains how Selectia collects, uses, stores and shares information. Selectia is operated by BINOMICS S.A.S., a company based in Colombia ("we", "us"). It covers the website at selectia.ai and the Selectia application at its workspace addresses under selectia.ai.
Who decides what happens to the data
Companies and recruiting teams ("customers") use Selectia to run their hiring. For the information about candidates and the hiring work that a customer keeps in its workspace, the customer decides how it is used, and we process it on the customer's behalf. For the accounts of the people who use Selectia, and for the operation and security of the service, we are responsible.
Information we collect
- Account information: your name, email address, profile picture, job title and how you sign in.
- Workspace content: positions, hiring processes, candidate records, notes, evaluations, documents, tasks and messages that people create in a workspace.
- Candidate information: what candidates submit when they apply or respond to a request, such as their name, contact details, resume, answers and documents.
- Information from accounts you connect: when you connect a Google, Microsoft, Dropbox or Box account, the information described in the sections below. When a recruiter calls a candidate from Selectia, a record of the call (its numbers, time, duration and status).
- Technical information: logs of requests to our servers, including IP addresses, browser and device details, used to run and secure the service.
Google user data
You can connect a Google account to Selectia from Settings. Selectia asks Google for access only when you connect, and uses it only for the features described here.
What Selectia accesses, and why
- Your name and email address (scopes
openid, email, profile): to show which account you connected and to send email from that address. - Gmail (
gmail.send,gmail.readonly): Selectia sends the emails you write in Selectia from your Gmail address. It reads the conversation that an email sent from Selectia belongs to, so that the replies to that email appear on the candidate's record, together with their attachments. Before ever resending an email, it looks up that one email by its message identifier to check whether the first attempt was delivered, so that nobody receives it twice. Selectia does not search or read any other part of your mailbox. - Google Calendar (
calendar.events,calendar.freebusy,calendar.calendarlist.readonly): Selectia reads when you are busy, so that candidates are offered only times when you are free, and reads your primary calendar's name and time zone to confirm the connection works. It creates, updates and cancels the interview events you schedule from Selectia, with a Google Meet link. - Google Drive (
drive): when you choose to attach a file from Google Drive, Selectia lists your folders and files so that you can pick one, then copies only the file you pick into Selectia. Google Docs, Sheets, Slides and Drawings are copied as PDF files. Selectia does not change, move or delete anything in your Drive.
How Selectia stores it
- The access and refresh tokens Google issues are encrypted (AES-256-GCM) before they are stored.
- Emails you send from Selectia, the replies in those conversations, their attachments, the interview events booked from Selectia and the files you copy in are stored in your organization's Selectia workspace, as part of its records.
- Selectia is hosted on Amazon Web Services in the United States. Data is encrypted in transit.
Who can see it, and who we share it with
- The emails, events and files kept on a record are visible to the members of your organization's workspace who are allowed to see that record.
- We do not sell Google user data, use it for advertising, or give it to advertising platforms, data brokers or information resellers.
- If you use an AI feature of Selectia, such as its assistant, on content that includes Google user data, that content is sent to the AI model providers listed below only to produce the result you asked for. Selectia does not use Google user data to create, train or improve artificial intelligence or machine learning models.
- We share data with the service providers that run Selectia for us (listed below), only as needed to provide the service, and when the law requires it.
- Our staff do not read your Google user data unless you ask us to (for example, for help with a specific email), it is necessary for security (for example, to investigate abuse), or the law requires it.
Your control
- Disconnecting a Google account in Selectia deletes its tokens from that connection, and Selectia stops using the account. To revoke the access at Google as well, remove Selectia at myaccount.google.com/permissions, which you can do at any time.
- Emails, events and files already kept on a record stay in the workspace until the workspace deletes them or the customer's account is closed. To ask for their deletion, write to support@selectia.ai.
Limited Use. Selectia's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Microsoft, Dropbox and Box accounts
Connecting a Microsoft account gives Selectia the same kinds of access as a Google account: sending the emails you write from Outlook, reading the conversations those emails belong to, reading when you are busy and booking interview events, with a Microsoft Teams link where the account offers Teams, and, for OneDrive, listing your files and copying the ones you pick. Connecting Dropbox or Box lets Selectia list your files and copy the ones you pick. Their tokens are stored encrypted in the same way, and disconnecting deletes them from the connection in the same way.
How we use information
- To provide Selectia's features to customers and their users.
- To keep the service secure, prevent abuse and fix problems.
- To answer questions and send messages about the service, such as sign-in codes and notices.
- To meet legal obligations.
We do not sell personal information and do not use it for advertising.
Service providers
- Amazon Web Services: hosting, storage and email delivery.
- Twilio: phone calls placed from Selectia.
- Vercel: routes requests to AI models (AI Gateway).
- OpenAI and Google: the AI models behind Selectia's AI features, such as reading uploaded documents, checking candidates against a position's requirements, and the assistant.
- Google, Microsoft, Dropbox and Box: the services of the accounts you choose to connect.
Retention
Workspace content is kept while the customer's account is active and is deleted when the customer deletes it or closes the account. Account information is kept while the account exists. Logs are kept for a limited time for security and operations.
Security
Data is encrypted in transit. Credentials for connected accounts are encrypted before they are stored. Access within a workspace follows the permissions each customer sets for its members.
Your rights
You may ask to access, correct or delete your personal information, or object to its processing, under the laws that apply to you, including Colombia's Law 1581 of 2012 on personal data protection. Candidates can also contact the company they applied to, which manages its own workspace. Write to support@selectia.ai.
Children
Selectia is not meant for people under 18.
Changes to this policy
When we change this policy, we update the date at the top of this page. If a change affects how we use Google user data, we will tell the people who connected a Google account before it takes effect.
